Digitization for municipalities of all sizes Efficient administration through integrated solutions
Digitalization in the public sector is progressing steadily and no longer only affects large cities. Small and medium-sized municipalities are also faced with the task of modernizing their administrative processes and making them more efficient. Swiss Post Digital Government supports municipalities in implementing this transformation in a structured manner thanks to integrated solutions, while at the same time creating the basis for future requirements.
In February 2021, the Valais municipality of Agarn decided to work with Swiss Post Digital Government and reports on its experiences in this case study.

Initial situation and challenge
Many municipalities are confronted with a similar situation: Existing software solutions are no longer being developed further or no longer meet today's requirements. At the same time, expectations of digital services and efficient processes are increasing. In the specific case of the municipality of Agarn and other municipalities in the region, this led to the need to evaluate a new, future-proof solution.
The municipality was faced with key challenges:

The solution
The participating municipalities opted for the integrated solution from Swiss Post Digital Government to digitalize their administrative processes in their entirety.

A concrete example of the rapid effectiveness is the introduction of digital workflows (e.g. in the accounts payable process), which significantly reduced manual and paper-based processes.
The implementation was structured:

- practical training directly on the municipality's real data
- Gradual introduction with parallel operation for security

Benefits and advantages
Digitalization with Swiss Post Digital Government leads to concrete, measurable improvements in day-to-day administration. After a short introduction and changeover phase, efficiency increases noticeably as processes are more intuitive, standardized and consistently mapped. At the same time, manual effort is significantly reduced: Digital workflows and structured data transfer minimize data entry and sources of error.
The solution's high level of user-friendliness makes it easier for employees to get started and promotes acceptance in day-to-day work. As a result, the administration can not only make its processes more efficient, but also more sustainable. Digital processes also create the basis for paperless working and enable modern, flexible forms of work such as location-independent working or working from home.
In addition, a standardized system landscape strengthens inter-municipal cooperation. Municipalities can work together more easily, exploit synergies and make the operation and further development of their administrative processes more efficient.
